Akademikliniken process personal data in accordance with the General Data Protection Regulation (GDPR). In order for it to be allowed to process personal data, a legal basis is required. 1. Personal data controller

Akademikliniken is responsible for the processing of personal data we carry out. That means it’s our responsibility to make sure that you:

  • Are aware of why and how we collect your personal data.
  • Can make active choices to approve or deny processing and storage of your personal data.
  • Can update your data.
  • Can be forgotten from the system and the information we process about you is deleted.
  • Can get all personal data we store about you handed out to you.
  • May request that we export your personal data at, for example, a replacement of a supplier.
  • Have your personal data in safe storage with us. We will not disclose them to third parties without you being informed and expressly approving how and why this happens.
  • We are responsible for processing personal data in accordance with applicable law.

3. How we use your stored data

We only use your personal data to send you information about the Beauty through Science (BTS) Congress or other related meetings. We do not sell, rent, distribute or in other ways make your personal data available to third parties to any extent other than necessary for sending out such information.

4. Personal data and cookies

Personal data includes everything that can identify you personally: name, address, email address, etc. In addition to personal data, there are also cookies. Cookies are small files sent to your computer via the browser (unless you turn off cookies) when you visit a website. Their function is to gather information about how a visitor uses a website, often to offer custom content. Cookies are a bit special when The Swedish Data Protection Authority (DPA) has not decided whether it is considered as personal data. Although cookies are not legally incorporated by the General Data Protection Regulation, we consider that they are so important to your integrity that we treat them so. And it is important that we store them for you!

5. The legal basis for processing personal data

We process your information based on that you are a participant or a potential participant at the Beauty through Science (BTS) Congress or have signed up for our electronic newsletter. Certain processing of personal data is based on legitimate interests.

Personal data: Device information, geographic and demographic information.
Purpose: To keep in touch with you as well as to market the Beauty through Science (BTS) Congress through mailing, promotions and display ads as well as developing and improving website based on usage.
Legal basis: The processing is necessary for AK’s legitimate interest in improving, streamlining, simplifying and developing the website and for attracting more participants and increasing the rate of recurring customer (legitimate interests).
Time: 3 years

Customer (Participant)

Personal data: Personal data, contact information and payment information.
Purpose: To be able to communicate with you, make direct payments as well as enable payment by invoice. Such processing also transfers your data to the credit company.
Legal basis: The process is necessary to complete the agreement with you which is when you make a payment to us, and in order to fulfill our legal obligations.
Time: In accordance with applicable legislation, such as the Book-keeping Act.

6. How does the Akademikliniken work with cookies?

The idea behind the Beauty through Science (BTS) website is to deliver a good experience for our visitors. We would like, among other things, to be able to present tailor-made guides and in-depth information, tailored to each person who uses the page. In order for us to do that, we may track how visitors click and what documents they download. This allows us to provide suggestions for further reading within the specific subject or related areas. Tracking is done using cookies. You can of course use our website without letting us store cookies. However, the experience will not be as personal and good as it is supposed to be. If you ever leave your email address to us during your visit to the website, the cookie will be linked to your email address. This allows us, if you consent to it, to submit suggestions for in-depth reading within the area you are interested in, such as guides and blog posts, as well as reaching relevant information and offers in other channels.

7. When do we store personal data?

Cookies are stored continuously, as long as you have approved it. Otherwise, personal data will be stored when:

  • You download a document or other file via our website
  • In other ways, transmits personal data to us digitally, such as registration for the congress, electronic newsletter, contact form, etc.

8. How do we collect cookies?

Cookies are tracked using trackers, with different purposes. In our case, it is about offering the visitor a tailor-made experience of our range and creating a better advertising environment for our visitors.Cookies are used for some features that improve our web pages for the user or provide us with statistics about the use of the site. Cookies are used on our web pages. By law, everyone who visits a website should be informed about what cookies are used for. The user should also be given the opportunity to consent to cookies being used to store or retrieve data in e.g. mobile or computer. Most browsers allow you to block cookies. 9. How long do we store cookies?

We store cookies only for as long as necessary for the purpose. We save data no more than 3 years after the customer last made a purchase or interacted with the Beauty through Science (BTS) website. The data is collected in agreement with this policy. AK may save data longer to guard its legal interests.

10. How to delete cookies in your browser

 11. To grant/withdraw consent

We will only process your personal data and cookies after you have approved the processing, as well as the purpose of the processing. The approach varies depending on the browser, so we refer to your browser’s help section to find the right path. You can unsubscribe from the mailing at any time through a link in the mail. You can also update your posting settings through the link in the mail. If you unsubscribe from further mailing, your personal data will be removed from our system.

To update your personal data, just email us at privacy@ak.se and we will update your information.

13. To be forgotten

To get your data deleted from our system, please report it to us at privacy@ak.se.

14. To get your information handed out and / or exported

To find out what personal data has been stored about you and to export them to a new supplier, please report this to us at privacy@ak.se. We will then send you any personal data we have stored to you.

 15. Third party information

AK will disclose your information to third parties to obtain support services in connection with organising the Beauty through Science (BTS) Congress, such as congress bureaus, travel suppliers incl. hotels, providers of payment and communication services. Third parties may only use the information to fulfil their commitments in organising parts of the congress. The information may also be disclosed to comply with the legal interests of AK in, for example, fraud or similar. Personal data may be transferred to non-EU / EEA countries if any of our partners are located there. If so, AK will take action to act under the EU / US Privacy Shield Agreement.
